Calendar Events
Events are lightweight, time-bound blocks you can drop onto the calendar for the things that are neither a training nor a rental – maintenance, a staff meeting, a private reservation, a photoshoot. They live under the Rents & Events area, which stays reachable as long as you can manage events, even if the Rent feature itself is turned off.
Events are admin-only. Creating and managing them needs the permission to manage events, which owners and admins hold by default. Members and trainers never see events, and an event never appears on the public booking page.
Creating an event
Section titled “Creating an event”Open the Rents & Events area and choose Create event. An event carries:
- A title and description, each in every language your organization uses.
- A start and end time on a single day – an event does not span midnight.
- An optional space it takes place in.
- An optional person it concerns.
The two switches
Section titled “The two switches”Every event has two independent switches, and both default off – so a bare event is private to you and does not block anything.
- Visible to other admins – turn this on to let other admins see the event in full; leave it off to keep it private to you. A visible event must have a title, so the form requires one when the switch is on. The hint reads: “Off keeps the event private to you; other admins only see it as a generic reserved block.”
- Blocks the space – turn this on to make the event occupy its space, so bookings, rentals and other blocking events cannot overlap it. Leave it off for an Informational event that never conflicts with anything. The hint reads: “On occupies the space, so bookings and rents cannot overlap it.”
Events are tagged with badges so their nature is clear at a glance: Event, Visible or Private, and Blocks space or Informational.
What other admins see
Section titled “What other admins see”What a peer admin sees depends on the two switches:
- A Visible event shows in full to every admin, and any admin can edit or delete it.
- A private blocking event shows to other admins only as a generic Reserved block – they see the slot and space, but not the title, description or who reserved it, and they cannot edit or delete it.
- A private Informational event is invisible to peers entirely.
Space clashes
Section titled “Space clashes”Creating or editing a blocking event warns you when it clashes with something already in that space and lets you override – exactly the way a rental does. See Rent Management for how that override works.
You can also Edit event or Delete event from the event itself, subject to the visibility rules above.
